Marine ERP Software for Palco Marine Services

Episcript developed a customised cloud-based ERP platform that brought Palco's commercial workflow, from customer RFQ to final invoice, into one connected system.

Managing a fast-moving marine procurement workflow

Palco Marine Services Pte Ltd operates in a fast-moving environment where customer enquiries, supplier quotations, purchase orders, deliveries and invoices all need to be handled accurately and quickly.

Its existing processes involved working with information from Excel files, PDFs, emails, Word documents and other formats. This created repetitive data entry, made collaboration more difficult and increased the risk of errors as information moved from one stage of the job to another.

  • RFQ management
  • Quotation creation
  • Purchase orders
  • Delivery orders
  • Invoicing
  • Supplier and contact management
  • Multi-currency transactions
  • Pricing and mark-up controls
  • IMPA and ISSA codes
  • Multi-company operations
  • Document management
  • Profitability and operational reporting

From customer RFQ to final invoice

A key part of the system was the ability to manage the full transaction cycle within one connected workflow.

Customer RFQs could be entered quickly, including by copying multi-row data directly from Excel. From there, the information could be converted into quotations, purchase orders, delivery orders and invoices without repeatedly re-entering the same details. The connected process covered:

  • Customer RFQs
  • Quotations
  • Purchase orders
  • Delivery orders
  • Supplies
  • Invoices
  • Supporting files and documents

Users could also work on multiple RFQs and quotations at the same time, helping the team handle several customer requests concurrently.

Flexible pricing, suppliers and international transactions

The platform also supported the complexities of marine procurement.

Supplier search

Supplier information and contacts could be searched and filtered by criteria such as country, product and brand.

IMPA and ISSA codes

IMPA and ISSA codes supported standardised marine product identification.

Pricing and currencies

Pricing tools allowed users to apply mark-ups by percentage or value, change quotation currencies independently of supplier currencies and manage transactions across multiple currencies.

Multi-company operations

The system supported multiple companies within the same platform, helping Palco manage different business entities while keeping their operational processes connected.

Better visibility into every job

Beyond day-to-day transaction processing, Episcript built reporting tools to give management a clearer picture of business performance.

Reports could be generated in tabular and graphical formats, including analysis of individual jobs, invoices and gross profit after expenses.

Files and supporting documents could also be stored directly against the relevant transactions, creating a much more organised record of each job.

Outcomes

One connected platform from enquiry to invoice

Episcript replaced a process spread across spreadsheets, PDFs, emails and documents with a customised marine ERP platform that carried each job through every stage in one place.

One connected platform that reduced repetitive data entry, improved accuracy and gave Palco Marine Services a faster, more structured way to manage the complete journey from customer enquiry to final invoice.
