Episcript developed a customised cloud-based platform and customer mobile app that brought StepUp's classes, customers, payments and communication into one connected system.
StepUp Learning and Dance Pte Ltd operates across multiple locations, managing students, parents, programmes, attendance, payments, enquiries and customer communications.
Before the new system was introduced, much of this information was being managed through Excel, Word documents and other basic tools. This made it harder to keep records consistent, respond quickly to customers and give management a clear view of business performance.
Project at a glance
Episcript developed a customised ERP Software platform to bring StepUp's different processes together into one central cloud-based system, covering:
The platform created a central database for managing parents, children, attendance records, payments, documents and programme history.
Programmes could be created and associated with different business locations, with support for schedules, pricing, promotions, membership discounts, make-up classes and registration tracking. Students could also attend activities across different centres where required.
Students were given their own login area where they could access relevant documents, study materials, videos and photographs.
Episcript also built an enquiry management module to collect leads from multiple channels, including the website, WhatsApp, Facebook, telephone calls and walk-ins. The system could:
This gave StepUp a much clearer process for following prospects from their first enquiry through to becoming a customer.
The platform also brought together customer communication, financial processes, retail stock and management reporting.
Email marketing tools allowed StepUp to send targeted campaigns and updates to selected customer groups.
WhatsApp integration provided another channel for notifications and customer service messages.
A dedicated invoicing module managed invoices, receipts, payments and historical financial information.
Parents and students could manage account details, register for classes, make online payments, download class materials, access videos and receive messages and notifications while on the move.
As StepUp also sold products such as dance clothing and shoes, an inventory module managed product categories, stock codes, suppliers, storage locations, cost and selling prices, product images and purchase histories.
Management could access dashboards, flexible search tools and reports on sales, enrolments, attendance, payments and operational performance, shown as tables or charts and exported to Excel and PDF.
Episcript replaced records spread across Excel, Word and other basic tools with one cloud-based platform and a customer mobile app, connecting StepUp's staff, parents and students across its locations.
One connected system that replaced fragmented manual processes and gave StepUp a more organised, efficient way to manage students, programmes, customers and day-to-day operations across multiple locations.
