Core modules

Core Progress Claim Software modules

Start with these, all on one contract record. Site, cost and safety work sits in our Construction Management Software.

Contract document with a part-filled progress bar and a stack of coins, standing for claims against the contract sum

Claims against the contract sum

Set up each contract's schedule of rates or bill of quantities once, then claim each period by quantity or percentage complete, with the cumulative total kept against the contract sum.

Change instruction sheet with a pen and an approval stamp, standing for variation orders and approvals

Variation orders and approvals

Record every instruction as a variation order, price it and send it for approval, with approved variations added to the next claim and pending ones listed separately.

Payment certificates and payment responses

Subcontractor claims

Subcontractors submit their claims through a portal, and your team checks each against site progress, certifies it, deducts retention and back charges, and issues the payment response.

Folder of claims with dated tabs along its edge, standing for the claims history of a project

Claims history per project

Every claim, certificate, payment response and payment is kept per project with its documents, showing claimed, certified, paid and outstanding amounts at any date.

Progress claims

Progress claims against the contract sum

Each claim is built from the contract's own lines: measured quantities, percentage complete or milestones, plus approved variations and materials on site. The system works out this period's amount from the cumulative total, deducts retention and previous certificates, and prints the claim in your client's format.

  • Claims by quantity, percentage complete or milestone, line by line
  • Measurement sheets, photos and site records attached to each line
  • Submitted claims locked, with any revision kept as a new version
  • Several contracts on one project, each with its own claim cycle
  • AI can draft the claim from recorded progress for your quantity surveyor to check

Claim cycle

Construction Billing Software from measured work to retention release

Each stage updates the same claim record. Billing beyond progress claims runs in our Invoicing Software.

  1. 1

    Measure

Site and commercial teams record work done by contract line, with photos and measurement sheets attached.

  2. 2

    Claim

The progress claim is built from those quantities and approved variations, then served on the client with its date recorded.

  3. 3

    Certify

The certified amount is entered line by line, and every reduction from the claim is shown with its reason.

  4. 4

    Respond

The client's payment response, or your own to a subcontractor, is recorded against the claim with its date.

  5. 5

    Invoice

A tax invoice is raised for the certified amount and sent by email or InvoiceNow, then matched to payment.

  6. 6

    Release

Retention held across every claim is released in its stages, invoiced, and tracked until it is paid.

Questions

Progress Claim Software FAQs

The best software for construction accounting records claims, certificates, variations and retention by project, then posts them to your accounts. Packaged products suit standard contracts, and a custom build suits contractors with their own claim formats.

A progress claim asks for payment for work done to date, and it is checked and certified before anything is paid. The invoice follows for the certified amount. The software keeps both against the same contract.

The system tracks progress by contract line, because every claim is built from recorded progress. Programmes, tasks and schedules sit in Project Management Software, which we can build on the same project record.

It works for both. A main contractor claims from the client and certifies subcontractor claims, while a subcontractor claims from the main contractor and tracks the retention held against it, all in one system.

The system records every progress claim and payment response with its amounts, documents and served date, and reminds your team before a response falls due. It keeps the records; your own advisers interpret the Act.

Cost depends on scope: the modules in the first phase, the contract types and claim formats, the data to migrate and the systems to connect. We quote each phase after a scoping session. Call 6581 3431 to discuss yours.

It depends on the first phase. Contracts, claims and certificates go live before a subcontractor portal or AI features, and we give you a schedule for each phase once the scope is agreed.

We move them for you. We map your claim spreadsheets, variation registers and retention records to the new structure, check a test import with your team, then load live contracts at an agreed cut-off.

Our solutions are eligible for government grants. We explain how the schemes apply to your project and what the agency looks for, so you can plan each phase with the full picture in front of you.

The system connects to Xero, QuickBooks and other accounting software, and certified claims, tax invoices and payments post without retyping. Invoices can also reach clients through InvoiceNow (Peppol) where they accept e-invoices.

AI features can be added, each scoped with you and built in its own phase using information from your system. They cover drafting claims, reading subcontractor claims and invoices, data questions, cash forecasts and anomaly checks.
