A fee management system raises fee invoices from enrolment, sends reminders, records payments against each student and keeps account statements. Ours runs inside the school management system, so fees always match the classes taken.
Parents pay by PayNow or card in the parent portal, through the payment gateway you hold an account with. Each payment posts against the student and term, and counter payments are recorded too.
A spreadsheet can track fees for a small class list, but it cannot raise invoices from enrolment, send reminders or post payments. A fee management system does that, and keeps every statement and credit note on the student record.
You set the discount rules once, and the system applies them when a student enrols or a sibling joins. Each invoice shows the discount, and a changed rule applies only to invoices raised after it.
