What AI reads
A business profile holds most of what a new client file needs, and it is exactly the information that is most painful to retype: long NRIC and passport numbers, share figures, appointment dates. AI takes it off the page and puts each item in the field it belongs to.
Company name and former names, UEN, entity type, status, incorporation date, registered office address and principal activities, each placed in its own field on the company record.
Directors, the company secretary and other officers, with their identification numbers, nationality, addresses and dates of appointment, created as people linked to the company.
Issued and paid-up capital by currency and share class, with the number of shares in each class, so the capital position and the individual holdings agree from the first day.
Individual and corporate shareholders with the shares each one holds, by class. A corporate shareholder is recognised as a company rather than a person, ready to link to its own record.
The business profile is filed against the new company with the date it was obtained, so anyone can see where the record came from and how current it is.
Review before saving
AI does the reading. A person still signs it off. Every extracted value appears on a review screen beside the part of the business profile it came from, and nothing reaches the company record, the registers or a document until your staff confirm it.
When firms use it
The first upload usually comes with a new engagement, but the same reading saves time whenever a business profile lands on someone's desk.
The client has signed, the profile has been bought, and the file needs opening today. Upload it, check it and the company is on the system with its officers and shareholders before the first reminder is due.
Upload a newer profile for an existing client and the system lists every difference from the record you hold, such as a new director or a changed address. Staff accept or reject each one, and the history keeps the old details.
A firm leaving spreadsheets or an older system can load its clients from their current business profiles, each one checked on the same review screen, rather than mapping years of inconsistent columns.
When a shareholder named on the profile is itself a client, the two companies are linked, so the group structure builds up as each profile is imported.
Capability
Beyond reading the business profile, further AI features for client take-on are scoped with you and built in their own phase. Each one works with information already held in your corporate secretarial system, and your staff confirm what it proposes.
AI prepares the opening entries for the register of members and the register of officers from the confirmed profile, ready for your staff to approve.
AI drafts the request to the client for what the profile did not supply, such as contact details or controller information, and sends it through a portal form once your staff approve it.
The same reading can be applied to a constitution, an appointment letter or a share transfer form, with the details lifted out for your staff to confirm against the record.
AI compares the confirmed company profile with the documents on file and flags anything that does not agree, such as a shareholding that no longer adds up to the issued capital.
