Corporate secretarial module

ID and face verification software for corporate secretarial firms in Singapore

Upload a director's or shareholder's identity document, send them a link, and let them prove they are the person on it with a photo of their face, matched against the photo on the ID. The result is saved against the person for your customer due diligence file, without a meeting, a photocopy or a certified copy in the post. ID and face verification is one module of Episcript's corporate secretarial software, and AI features can be added to read the ID details into the record as well.

Built in Singapore for corporate service providers, accounting practices and in-house company secretarial teams.

Identity verification

Identity verification from the ID upload to the recorded result

Your staff start the check, the person completes it from wherever they are, and the result comes back to the same record your firm uses for everything else about them.

  1. Step 1

    Upload the ID

Your staff upload the person's NRIC or passport to their record in the system.

  2. Step 2

    Send the request

The person receives a notification asking them to verify, with a link to follow.

  3. Step 3

    Take a photo

They open the link on their phone and take a photo of their face.

  4. Step 4

    Match the face

The photo is matched against the photo on the identity document.

  5. Step 5

    Record the result

The outcome is saved against the person, with the date, ready for your CDD file.

Customer due diligence

Verifying directors and shareholders for corporate service provider due diligence

Corporate service providers in Singapore carry customer due diligence obligations, and knowing that the people behind a client company are who they say they are sits near the start of them. The checks themselves are rarely difficult. Arranging them is.

Phone with a secure lock, standing for verification from wherever the person is

People who cannot come in

A shareholder in Jakarta and a director who travels every week will not sit in your office to have their passport sighted. A link and a phone camera reach them wherever they are.

Copies that prove little

A scanned passport shows that someone has a copy of it. A face matched against the photo on that document shows that the person holding the phone is the person on the ID.

Padlock standing for the verification evidence kept securely against the person

Evidence an inspector can follow

Each check is saved with the ID, the photo, the result, the date and the staff member who asked for it, against the person and every company they are linked to.

For your client

Face verification your clients complete on their own phone

The person being verified gets a notification, follows the link and is guided through taking a clear photo of their face. It takes them a few moments, at a time that suits them, and there is nothing to post back to your office.

  • A link, not an appointment. The request arrives as a notification with a link that opens in the phone's web browser.
  • Clear instructions on screen. The person is told how to hold the phone and can retake a photo that comes out dark or blurred.
  • Reminders if it waits. An unopened request is followed up on the schedule your firm sets.
  • One person, many companies. A director of several client companies verifies once, and the result sits against each company they serve.

For your staff

Verification results, reviews and records for your team

Your staff see the outcome of every check beside the person it belongs to, and the system tells them which ones need a human decision.

Clear outcomes

Each check comes back as matched, not matched or needing review, with the ID photo and the new photo side by side for anyone who wants to look for themselves.

A person decides the hard cases

A check that does not match is never failed quietly. It lands with a member of staff, who can send a fresh request, ask for an in-person meeting or record their own decision and the reason for it.

Outstanding checks in one list

Requests sent but not completed are listed by client company. A new engagement no longer stalls unnoticed because one shareholder has not opened the link.

Re-verification when an ID expires

The expiry date on each identity document is watched alongside the other renewals, and a new verification can be requested before the passport on file runs out.

Capability

AI features for identity verification and client due diligence

AI features for identity verification are scoped with you and built in their own phase. Each one works with information already held in your corporate secretarial system, and your staff make the final call on every person.

ID details read into the record

AI reads the uploaded NRIC or passport and lifts out the name, document number, nationality, date of birth and expiry date, for your staff to confirm before they are saved.

Mismatch alerts

AI compares the details on the identity document with the person's record and the company's business profile, and flags a name spelled differently or a document number that does not agree.

Due diligence summaries

AI drafts a short summary of what is on file for each person, the documents, the verification result and anything outstanding, for the staff member signing off the client.

Follow-up priorities

AI ranks the outstanding verifications by how much each one holds up, such as a new engagement waiting on its last shareholder. Your team then chases the right person first.

How it fits

Where ID and face verification sits in your corporate secretarial system

ID and face verification is one module of Episcript's Corporate Secretarial Software. The people it verifies are the officers and shareholders already held in the client entity register, so a verified director is verified for every company they serve.

Face verification supports your customer due diligence. It does not replace the rest of it: your firm's own policies still decide who must be verified, how risk is assessed and what else goes on the file. We scope the module around those policies, as its own phase with its own quote.

For Singapore residents, SingPass and Myinfo can be offered as another route where your firm prefers it, and the client portal already supports SingPass login.

Kept with every check

What the system records for each verification

  • The identity document, with its number and expiry date
  • The photo the person took, and the outcome of the match
  • When the request was sent, opened and completed
  • The staff member who asked for it, and any decision they recorded
  • Every client company the person is linked to

Weighing it up

Remote face verification or sighting the original ID in person

Meeting a client and sighting the original document is the check everyone understands, and some firms will keep it for their higher-risk clients. Remote verification earns its place with everyone else, and above all with officers and shareholders who are overseas.

Questions

ID and face verification software FAQs

Your staff upload the person's identity document to their record and send a verification request. The person receives a notification with a link, opens it on their phone and takes a photo of their face. That photo is matched against the photo on the ID, and the outcome is saved against the person with the date.

NRICs, passports and the other government-issued photo identity documents your firm accepts. The document needs a clear photo of the holder for the face to be matched against, and your firm decides which document types are acceptable for which clients when the module is scoped.

Anyone your due diligence policy requires: directors, shareholders, registrable controllers, authorised representatives or the person signing your engagement letter. Because people are linked to companies in the system, a director of several client companies verifies once and the result stands against each of them.

No app is involved. The link in the notification opens in the phone's web browser, which asks permission to use the camera, and the person is guided through taking the photo. Someone without a smartphone can be verified the traditional way, and your staff record that instead.

The check is passed to a member of staff rather than failed automatically. They can see both photos side by side, send a fresh request if the photo was poor, ask the person to meet in person, or record their own decision and the reason for it. Nothing is closed without a person deciding.

No. It handles one part of it, confirming that a person is who their identity document says, and keeps the evidence. Your firm's own policies still decide who must be verified, how each client's risk is assessed and what else the file needs, and we scope the module around those policies.

They are held against the person, visible only to staff whose role and client assignments allow it, and every view and decision is logged with the user and the time. How long they are kept follows your firm's retention policy. Together with your own policies, those controls support your PDPA obligations.

Where your firm prefers it, SingPass and Myinfo can be scoped as another route for Singapore residents, and the client portal already supports SingPass login. Face verification then covers everyone else, including officers and shareholders overseas, so every person ends up with a recorded check either way.

Yes. The expiry date of each identity document is tracked alongside your other renewals, and your staff are warned ahead of it. Upload the new document and send a fresh request, and the new result is saved beside the earlier one, which keeps the history of checks on that person complete.

It is a module of our Corporate Secretarial Software rather than a separate product, because it verifies the officers and shareholders held in the client entity register and saves the results against them. Firms usually add it as its own phase, often alongside client onboarding, with its own quote.

Yes. Our solutions are eligible for government grants. The Enterprise Development Grant supports project costs including software, and we will explain how your project fits and prepare the documents an assessor expects to see.

Next step

See ID and face verification working on a test client

For most secretarial firms the slow part of taking on a client is not the paperwork. It is waiting for the overseas shareholder to find a lawyer to certify a passport copy. Book a demo and we will send a verification request to your own phone, so you can see both sides of the check.
