Rosters and shifts
Staff rostering in a service business is rarely hard because of the shifts. It is hard because of everything around them: the part-timer who only works two evenings, the therapist on leave next Thursday, the one trainer qualified for the senior class. The roster holds all of that, which is what lets the booking calendar trust it.
Most weeks look much like the last. Save your usual patterns, say an early and a late shift on weekdays and a longer Saturday, as templates and roll them forward a week or a month at a time. Changing one week leaves the template untouched.
Each person's contracted days, preferred hours and the times they cannot work are recorded once. A part-timer who only works Tuesday and Thursday evenings never lands on a Monday morning roster by mistake, and a new availability takes effect from the date you set.
Approved leave, medical leave and training days block the person out of the roster and out of the booking calendar at the same moment. Where bookings already sit in that time, the system lists them for the front desk to move before the customer hears about it.
Record which services each person is trained to deliver, and any certificate with an expiry date. A sports massage only goes to a therapist trained for it, and a certificate about to lapse shows on the roster weeks before the shift it would affect.
Set how many people, in which roles, you need at each hour: two therapists and one person on the front desk on weekday evenings, more on a Saturday. While you build the roster, every hour that falls short of its target is marked.
Staff who work across branches have one roster, with each shift tied to a location and the travel time between branches you set. A trainer cannot be rostered in Tampines in the morning and Jurong straight after, and each branch manager sees their own cover.
Service scheduling
A booking usually needs a person, often a room and sometimes a piece of equipment, all free at the same time. The system only offers a slot when all three line up, then assigns them by the rules you choose. Your front desk stops juggling three calendars in their head while the customer waits on the phone.
Conflict checks
Double-bookings happen in the gap between two records: the roster in one place, the appointment book in another, and a phone booking taken while someone else was editing the shift. With both in one system, every booking and every shift change is checked against the same schedule before it is saved.
When a change would cause a clash, the person making it sees why and what would fix it, rather than finding out when two customers arrive for the same therapist. It is the most practical way of stopping staff and rooms being double-booked.
Nobody can be given two bookings at once, or a booking outside their shift. Where a group class allows several customers with one trainer, the limit is set per service.
A treatment room, studio or machine needed by two bookings at the same time is refused for the second, even when each booking has its own free staff member.
Set the longest shift, the most hours in a week and the rest you want between a late finish and an early start. A roster that breaks one of your limits is flagged before it is published.
A shift or booking that lands on approved leave, or needs a skill the person does not hold, is stopped at the point it is made, not discovered on the day.
Changes to the roster
Rosters change after they are published. That is normal, and the problems start only when the change is agreed in a chat group and never reaches the booking calendar. Here every swap, cover request and late change goes through the schedule itself.
A staff member asks to swap a shift from their phone, and the request is shown only to colleagues who are free and qualified for the bookings already in it. Nobody agrees a swap that leaves a facial with someone who does not do facials.
Swaps, leave requests and extra shifts go to the right manager by branch or team, who approves from an email or a phone. Until then the original roster stands, and the booking calendar keeps working from it.
When someone calls in sick, their shift is offered to the colleagues who could take it, in the order you prefer. The first to accept gets it, subject to approval, and their bookings move across with it.
Staff are told when their roster is published and whenever a shift or booking of theirs changes, by email, SMS or WhatsApp. Shifts can also appear in their own Google Calendar or Outlook Calendar where you use them.
Hours and reporting
The roster also answers the questions managers ask at month end: who carried the most hours, which evenings ran short, and how much of each person's rostered time was spent on paid bookings. Those figures are what you need for planning staff rosters around booking demand.
The scheduling module does not calculate pay or replace your HR system. Rostered hours, and the hours delivered on bookings, export to the payroll or HR software you already run, as a file in the layout it imports or through its API where it publishes one. Nobody adds up the month's hours from a spreadsheet again.

AI features for staff scheduling software work with information already held in your own roster and booking records. Each one is scoped with you and built in its own phase, and a manager checks the output before it changes anyone's shifts.
AI projects bookings by day and hour from past bookings and seasonal patterns, then drafts next week's roster to meet them, inside each person's availability, skills and leave. A manager edits the draft and publishes it.
AI checks the roster for anything out of the ordinary: an evening with fewer therapists than its bookings need, one person heading for far more hours than usual, or a run of late finishes followed by early starts.
Staff ask on WhatsApp to swap or give up a shift. The agent finds colleagues who are free and qualified, offers them the shift and passes the agreed swap to a manager for approval.
Ask "which Saturdays next month have fewer than two senior trainers rostered" and AI turns the question into a search of your own roster, with the dates and branches listed.
When a staff member is off sick, AI drafts the messages to each affected customer, offering another staff member or another time from the live calendar. The front desk checks each one and sends it.

It plans who works when and ties that plan to the bookings they deliver. You record availability, leave and skills, build shifts from templates, and the booking calendar only offers slots that a rostered, qualified person can cover. Conflict checks stop double-booking, swaps go through approval, and staff are told whenever their schedule changes.
The online booking page reads the live roster. A therapist on leave, off shift or already booked does not appear for that slot. When leave is approved after bookings were taken, the system lists the affected bookings with the colleagues who could take each one, and the front desk reassigns or moves them before the customer arrives.
A staff member requests a swap or offers up a shift, and the request goes only to colleagues who are free and qualified for the bookings in it. Once someone accepts, a manager approves it from an email or a phone. Everyone affected is notified by email, SMS or WhatsApp, and the roster keeps a record of each change.
Each staff member's skills and qualifications are recorded, with expiry dates where they apply, and each service lists who may deliver it and which room or equipment it needs. When a booking comes in, the system assigns a qualified person and a suitable room that are both free, by rules you choose, such as the customer's regular therapist first.
