Facilities management
Episcript designs, builds and supports Facilities Management Software in Singapore: helpdesk, asset register, planned maintenance, work orders and contractors, with AI we build in to log requests, read service reports and flag repeat faults.
For building owners, MCSTs, FM companies and in-house estate teams, from one building to a whole portfolio.
Core modules
The modules most facilities teams start with, all working from one register of sites and assets.
Occupants report a fault by scanning the QR code at its location, on the portal or by WhatsApp, and the request opens against the right building, floor and asset.
Record every lift, pump, chiller and fire panel by building and location, with its warranty, service history and QR asset tag kept on one record.
Set servicing schedules by calendar date or by run hours, and the system raises each PPM work order on time with the checklist for that asset attached.
Reactive work orders carry a priority with its response and rectification times, and anything still open near its deadline is escalated to the facilities manager.
Keep each term contract for M&E, cleaning, security or landscaping with its scope, sites, service levels and expiry date, and assign jobs to the contractor on it.
Schedule recurring checks for lifts, fire protection and other plant in our Inspection Management Software, with each certificate kept on the asset and a reminder before it expires.
CAFM
Computer aided facility management (CAFM) software keeps your sites, floors, rooms and assets in one structure, with planned and reactive work running from it. Portfolio valuations sit in our Property Asset Management Software, and factories with heavy plant can add a Maintenance Management System for machines and equipment →.
Hard and soft services
Building services and soft services on one schedule, each with its own checklist and contractor.
Air conditioning, pumps, switchboards and generators on planned schedules
Servicing visits and breakdown calls logged against each lift
Sprinklers, alarms and extinguishers checked and recorded on schedule
Daily rounds by area, with checklists signed off on a phone
Patrol routes with QR checkpoints scanned and timed on each round
Treatment visits and findings recorded block by block
Pruning, grass cutting and plant care planned by zone
Collection rounds and bin chute cleaning logged per block
Facility booking
Bookings run on our Booking Management Software, with your rules applied to each facility.
Rooms booked by the hour or session, with deposits taken by PayNow and released once the room passes its after-use check.
Booking limits per unit or tenant, such as one slot a day, with cancellation rules and a waiting list for popular times.
Hot desks and project rooms booked by floor, with check-in by QR code and unused bookings released automatically.
Projectors, trolleys and event equipment booked out and returned, with condition noted on return and any damage passed to a work order.
Dashboard and reports
Every figure comes from the work orders, checklists and costs your team already records, and the facility management metrics owners ask for are ready by building, contractor or client.
By role
Each role gets its own screens over the same sites, assets and jobs.
Open work orders, PPM due this week and contracts nearing expiry on one screen, with AI flagging repeat faults and unusual costs.
Monthly reports, spending against the maintenance and sinking funds, and approval of large quotations, with answers to questions about your own data.
Every client building in one system, with jobs, staff and contract performance reported per client and across the whole portfolio.
Jobs on a phone with the asset, checklist and history, photos before and after, and the occupant signing off on completion.
Faults reported by QR code, portal or WhatsApp, facilities booked online, and an update sent each time a job moves forward.
Built to order
Built in phases using information from your own system, with staff approving every output.
Module library
Add these as your buildings, contracts and clients need them.
Day-to-day records for plant, stores and site work.
Record electricity and water readings on a phone each month, with consumption compared by building and period.
Keep stock of filters, lamps and spare parts per store, deducted when a technician closes the job.
Issue hot work and work-at-height permits to contractors, with the job held until the permit is approved.
Take unit renovation and move-in applications online, with the deposit, approved hours and lift booking recorded.
Residents and tenants kept informed without extra calls.
Residents and tenants log faults, book facilities and follow each request through to completion in one login.
Send lift servicing, water supply and AGM notices to one block or every block by email or WhatsApp.
Occupants rate each closed job, and a low score sends it back to the facilities manager for review.
Contractors sign in on arrival against their work order or permit, with every visit logged by site.
Costs followed from quotation to invoice.
Set yearly budgets per building and cost line, with committed and actual spend shown against each one.
Compare contractor quotations for ad hoc works, approved by the manager, owner or council according to amount.
Bill tenants for chargeable repairs and FM clients for work outside the contract, straight from completed jobs.
Send approved contractor invoices and client bills to Xero, QuickBooks or your own accounting system.
One system for one building or a whole portfolio.
Run every building and every FM client in one system, with each person limited to their own sites.
Give each client a login showing its open jobs, PPM progress and monthly reports at any time.
Plan upgrades, fit-outs and replacement projects in our Project Management Software, linked to the assets they replace.
Keep drawings, O&M manuals, contracts and certificates by building and asset, with expiry dates tracked.
Integrations
Connect the system to the messaging, accounting, payment and signing tools your team already uses.
Running a tool that is not on this list? Tell us what it is and we will scope the connection.
Custom build
Packaged CAFM platforms suit teams whose contracts and buildings match the product. When your service levels, approval limits or reports do not, we build the system around them, and change it as your portfolio changes.
Questions
The best facility maintenance software is the one built around how your buildings, contracts and approvals actually run. A packaged CAFM product suits standard processes, and a custom build fits when your service levels and reporting differ.
CAFM software manages the building as a whole: spaces, assets, helpdesk, bookings, contractors and costs. A CMMS focuses on maintaining machines and equipment. Facilities teams usually need CAFM, while factories with heavy plant usually need a CMMS.
A building management system controls plant such as air conditioning and lighting, and BIM is the digital model of the building. Facilities Management Software runs the work around both: assets, work orders, contractors and costs.
One system runs every site and service. Hard and soft services, contractors and costs are recorded per building, with reports per site, per client or across the portfolio, and each manager sees only their own sites.
Cost depends on scope: the modules in the first phase, the sites and assets to load, and the systems to connect. We quote after a scoping session and price each phase separately. Call 6581 3431 to discuss yours.
It depends on the first phase. A release covering the helpdesk, asset register and work orders goes live sooner than a full build with bookings, budgets and portals, and we set the schedule once the scope is agreed.
We import them for you. Asset lists, locations, PPM schedules and contractor details are mapped from your spreadsheets, checked by you in a test import, then loaded on a cut-off date you agree.
Our solutions are eligible for government grants. We go through how the schemes apply to your build and what the agency looks for, so you can plan the budget before work starts.
The system connects to Xero, QuickBooks and other accounting software for contractor invoices and client bills, to WhatsApp for fault reports and updates, and to PayNow and payment gateways for booking fees and deposits.
AI features are built in phases using information from your own system, with staff approving every output. They log WhatsApp fault reports, read service reports, flag repeat faults and unusual costs, and forecast maintenance spend.
The system supports your PDPA obligations through permissions, activity logs, consent records and access controls. Contractors see only their own jobs and occupants only their own requests, while your own policies do the rest.
