Core modules

Core Maintenance Management System modules

The modules most maintenance teams start with, all working from one equipment record.

Industrial machine with an asset tag and a list of its components, standing for the asset and equipment register

Asset and equipment register

Record every machine, line and piece of plant in a hierarchy from site down to component, with serial number, location, warranty, manuals and the spare parts it uses.

Calendar with a gear and a spanner on the due date, standing for preventive maintenance schedules

Preventive maintenance schedules

Set servicing by calendar, run hours or production count for each asset, and the system raises the work order with its checklist before the job falls due.

Work order on a clipboard with a spanner and a priority flag, standing for work order management

Work order management

Every repair, service and inspection is a work order with its priority, asset, tasks, parts and labour time, tracked from open to closed with the reason for any delay.

Phone scanning a QR label on a machine with a warning sign, standing for fault reports from a mobile app

Fault reports from a mobile app

Operators report a breakdown from a phone by scanning the QR label on the machine and adding photos, and the report opens with the asset already filled in.

Technician in a hard hat beside a job card with an assignment arrow, standing for technician and contractor assignment

Technician and contractor assignment

Assign each job to an in-house technician by trade and shift, or to an outside contractor under a service agreement, who receives and closes it through a web link.

Shelf of labelled bins holding bearings, belts and filters, standing for spare parts and stores

Spare parts and stores

Keep spare parts by store and bin with minimum levels, reserve them against planned work orders, and see which machines each part fits before you reorder.

Work orders

Equipment management process, from fault report to maintenance history

Every breakdown runs through the same stages, and a job closes only when its record is complete.

  1. Stage 1

    Fault report

An operator or supervisor reports the fault by phone or WhatsApp, and it is logged against the asset.

  2. Stage 2

    Work order

The planner turns it into a work order, sets the priority and attaches the asset's checklist and drawings.

  3. Stage 3

    Assignment

The job goes to a technician by trade and shift, or to a contractor, with its spare parts reserved.

  4. Stage 4

    Completion

The technician records the work done, parts used, labour time and photos, and a supervisor signs it off.

  5. Stage 5

    Maintenance history

The closed job joins the asset's history, with its cost and downtime counted in that machine's reports.

Preventive maintenance

Preventive maintenance software and maintenance scheduling system

Planned preventive maintenance runs from schedules you set per asset, by date, run hours or output. The system raises each job ahead of time, shows each week's workload by trade and moves servicing into planned shutdowns. Our guide covers the types of maintenance and where each fits.

  • Checklists per job type, with readings and pass or fail recorded on the phone
  • Statutory inspection dates for items such as lifting equipment and pressure vessels, with reminders before they fall due
  • Calibration records and certificates kept against each instrument
  • Overdue and skipped jobs flagged to the maintenance manager
  • AI anomaly checks can flag machines that keep breaking down between services

Manufacturing

CMMS software for manufacturing plants and production lines

Maintenance and production share one view of each line, its machines and its downtime.

  • Production line hierarchy

Lines, machines and components set out as your plant runs

  • Downtime recording

Each stoppage logged by machine, cause and duration

  • Planned shutdowns

Servicing grouped into production windows agreed with planning

  • Shift handover

Open jobs and machine notes passed to the next shift

  • Meter readings

Run hours and cycle counts entered by operators or imported

  • Lockout and isolation checks

Isolation steps confirmed on the work order before work starts

  • Root cause records

Cause and fix recorded, so repeat faults can be traced

  • Maintenance KPIs

Mean time between failures and to repair, by machine and line

Assets and spares

Asset maintenance management: spare parts, costs and equipment life cycle

Every part issued and every hour worked is costed to the asset, so you can see what each machine costs to keep running.

Spare parts inventory
Stock by store and bin, with minimum levels and parts reserved against planned work orders before the job starts.
Purchase requests
A part below its minimum raises a purchase request with the usual supplier, passed to your Procurement Software for approval.
Maintenance cost per asset
Labour, parts and contractor costs totalled by machine, line and month against the maintenance budget.
Equipment life cycle management
Install date, warranty, repairs and running cost kept for each asset, to support a repair or replace decision.

Module library

More modules in the Maintenance Management System

Add these as your plant needs them. Our guide explains what a Computerised Maintenance Management System covers.

Assets and equipment

Know what you have, where it is and what it needs.

  • QR and barcode asset labels

Print a label for each machine, and anyone scanning it with a phone opens that machine's record.

  • Warranties and service agreements

Record warranty end dates and contractor service agreements, with a reminder before each one expires or renews.

  • Manuals and drawings

Keep manuals, wiring diagrams and safety data sheets on the asset record, open to technicians at the machine.

  • Asset moves and disposals

Record when equipment moves between lines or sites, or is scrapped, with its full history kept.

Planning and inspections

Planned work, checks and shutdowns on one calendar.

  • Inspection rounds

Run daily or weekly inspection routes with readings and defects recorded, raising a work order for each failure.

  • Shutdown planning

Group servicing and repairs into a planned shutdown, with tasks, contractors and parts ready before the line stops.

  • Calendar and workload

See planned and breakdown work by week and by trade, and move jobs where technicians are overbooked.

  • Permits for high-risk work

Record permits and isolation steps for high-risk work, signed off by a supervisor on the work order.

Contractors and costs

Outside work and spending kept against each asset.

  • Contractor portal

Contractors receive work orders through a web link, upload their service report and close the job themselves.

  • Quotations and approvals

Collect quotations for larger repairs and send them for approval when they exceed a manager's spending limit.

  • Maintenance budgets

Set a yearly maintenance budget per site or line and track committed and actual spending against it.

  • Supplier invoice matching

Match contractor and supplier invoices to the work order before they pass to accounts for payment.

Reports and records

The figures a maintenance manager is asked for, ready to hand.

  • Planned and breakdown work

Report the share of planned and breakdown work by line and month, to show whether prevention is working.

  • Audit trail

Every change to a work order, checklist or asset record is logged with the user and the time.

  • Several plants and sites

Run every plant in one system, with head office seeing all sites and each site manager their own.

  • Exports and report builder

Export work orders, costs and downtime to Excel, or build your own report layouts from the same data.

Custom build

Custom CMMS software built around your rules

Packaged CMMS products suit teams whose processes match the product. When your asset hierarchy, approval limits or shift patterns do not, we build the system around them. Building owners and FM teams have our Facilities Management Software →, and teams on spreadsheets can read how to move maintenance records from Excel.

  • Released in stages, starting with the asset register and work orders
  • Hosted by Episcript or in your own environment
  • Eligible for government grants
What a custom build changes
  • Your asset hierarchy, job types and approval limits, not the vendor's
  • Only the modules your team uses, added one phase at a time
  • Connected to the ERP, stores and accounting systems you already run
  • AI features scoped to your own maintenance records
  • A Singapore team that builds, supports and extends it after launch

Questions

Maintenance Management System and CMMS software FAQs

The best Maintenance Management Software is the one that fits your assets, job types and approval rules. A packaged CMMS suits standard processes, and a custom build fits when your plant keeps working around the product.

A CMMS, or Computerised Maintenance Management System, keeps your asset register, preventive maintenance schedules, work orders, spare parts and maintenance history in one system, in place of paper job cards and spreadsheet logs.

Excel is not a CMMS. A spreadsheet can list assets and due dates, but it cannot raise work orders, reserve spare parts, send jobs to a technician's phone or keep a reliable record of who did what.

They are not the same. An ERP runs finance, purchasing, stock and sales across the business, while a CMMS runs maintenance work on your assets. We can build the CMMS on its own or connect it to your ERP.

A CMMS manages day-to-day maintenance: work orders, schedules, spare parts and history. Enterprise asset management (EAM) covers an asset's whole life, adding purchase, depreciation and disposal. A custom build can cover either scope.

Cost and timeline depend on scope: the modules in the first phase, the number of sites, the data to migrate and the systems to connect. We quote after a scoping session and price each phase separately.

We import them for you. We map your spreadsheets or old system to the new asset hierarchy, run a test import for your team to check, then load the final data on a cut-off date you agree.

The system connects to Xero, QuickBooks and other accounting software, and to your ERP through its API, so parts, purchase requests and costs move between them without retyping. Tell us what you run and we will scope it.

AI features can be added, each scoped with you and built in its own phase using information from your system. They cover WhatsApp fault reports, service report reading, breakdown pattern checks, parts forecasts and questions about your data.

Our solutions are eligible for government grants. We explain how the schemes apply to your maintenance project and what the agency looks for, so you can budget with the full picture in front of you.

Every work order, checklist and sign-off is logged against a named user with the date and time. Edits to a closed record keep its earlier version, and staff see and change only what their role allows.
